This policy explains how tenfold. s.r.o., operating the tenspace. brand, works with the personal data of website users, people interested in booking, guests, clients, business partners and other people who contact us via the website, email, telephone, a form, a booking system, a partner platform or another communication channel.
We process personal data only to the extent we need for operating the tenspace. platform, processing enquiries, facilitating bookings, communicating with you, passing data to a specific accommodation provider, fulfilling statutory obligations, protecting our rights and improving our services.

tenfold. s.r.o. operates the tenspace. brand and, as part of this activity, processes the personal data of website users, people interested in booking, guests and other people who contact us via the website, email, telephone, a form, a booking system or another communication channel.
Our company is not obliged to appoint a data protection officer.
2. the role of the tenspace platform.
tenspace. is a platform for presenting and facilitating bookings of accommodation operated by individual accommodation providers.
This means that tenfold. s.r.o. may not always be the direct provider of specific accommodation. For individual properties, another natural or legal person may be the independent provider of accommodation, i.e. the specific accommodation provider, owner, tenant, manager or operator of the given property.
In some cases we therefore pass personal data to the specific accommodation provider whose property the user enquires about or books.
In relation to the guest's personal data, the specific accommodation provider may be an independent data controller, in particular where it processes the data for the purpose of providing accommodation, fulfilling statutory obligations, keeping records of accommodated persons, reporting foreigners, collecting local fees, handling complaints or protecting its rights.
The conditions for processing personal data by a specific accommodation provider may also be governed by its own privacy policy.
3. what personal data we process.
Depending on how you communicate with us or which service you use, we may process in particular the following data:
- first and last name,
- email address,
- telephone number,
- data entered into a contact or booking form,
- data about the enquired or booked stay,
- arrival and departure dates,
- number of persons,
- information about preferences related to the booking,
- billing details, where necessary,
- payment details to the extent needed to identify the payment,
- the content of email, telephone or other communication,
- technical data about the use of the website,
- IP address,
- cookies and similar identifiers,
- data needed to fulfil statutory obligations, where these apply to the given case.
For a specific booking, the scope of processed data may differ depending on what data is needed for the given property, the specific accommodation provider, the booking system or the partner platform.

We process personal data in particular for the following reasons:

We need your data in order to receive and process your enquiry, verify the availability of a property, create or facilitate a booking, pass information to the specific accommodation provider and ensure follow-up communication.

We use your contact details to answer your questions, send booking information, handle booking changes, pass on instructions or for other communication related to the tenspace. platform or a specific stay.
passing data to a specific accommodation provider.
If you enquire about or book a specific property via the tenspace. platform, we may pass your data to the relevant accommodation provider so that it can confirm the booking, provide accommodation, communicate with you and fulfil its statutory obligations.
payments and accounting.
If a payment is made via the platform or connected systems, we process the data needed to match the payment, record the booking, keep accounts, meet tax obligations and possibly issue documents.
In some cases the payment may be processed directly by the specific accommodation provider, a payment gateway or an external booking platform.
fulfilling statutory obligations.
We may process some data because legal regulations require us to. This may involve, for example, accounting and tax obligations or other statutory obligations related to operating the platform.
Statutory obligations directly related to providing accommodation, for example keeping records of accommodated persons, reporting foreigners or collecting local fees, may be fulfilled by the specific accommodation provider as an independent data controller.

We may also process personal data in order to protect our rights and legitimate interests, for example when resolving disputes, complaints, damage, unpaid payments, misuse of the platform or security incidents.

We may use technical data, analytics data and cookies to improve the functioning of the website, measure traffic, evaluate campaign performance, optimise content and improve the user experience.
marketing communication.
If you give us your consent or where legal regulations allow it, we may send you news, offers, stay inspiration or other marketing information related to the tenspace. brand or the services of tenfold. s.r.o.

5. legal grounds for processing.
We process personal data on the following legal grounds:
- performance of a contract or taking steps before concluding a contract, in particular when processing an enquiry or booking,
- compliance with legal obligations, in particular in the area of accounting, taxes or other statutory obligations,
- legitimate interest, in particular in operating the platform, ordinary business communication, protecting rights, ensuring security and improving services,
- consent, in particular for certain types of marketing communication or analytics and marketing cookies, where consent is required.
6. to whom we pass personal data.
We may pass personal data only in justified cases and to the necessary extent. We may pass data in particular to the following categories of recipients:
- specific accommodation providers whose property you enquire about or book,
- providers of booking systems,
- providers of payment gateways and payment services,
- providers of email, hosting, cloud and IT services,
- accounting, tax and legal advisers,
- marketing and analytics tools,
- partner booking platforms,
- public authorities, where the law requires it.
We do not pass personal data to anyone who has no legitimate reason for it.
7. transfer of personal data outside the european union.
Some of our suppliers, in particular providers of analytics, marketing, cloud or communication tools, may process personal data outside the European Union or the European Economic Area.
In such a case we ensure that the transfer of personal data is carried out in accordance with legal regulations, in particular through appropriate contractual, technical and organisational measures.
8. how long we keep personal data.
We keep personal data only for as long as necessary to fulfil the purpose for which it was processed. In general:
- data related to an enquiry we keep for the time needed to handle it and for a reasonable period afterwards,
- data related to a booking we keep for the duration of the contractual relationship and subsequently for the period needed to protect rights,
- accounting and tax documents we keep for the period set by legal regulations,
- data from ordinary business communication we keep for the period needed to handle the communication and protect rights,
- data processed on the basis of consent we keep until the consent is withdrawn, unless there is another legal ground for its further processing,
- cookies we keep for the period stated in the cookie settings or in the cookie bar.
After the relevant period we delete or anonymise the personal data.

If your request concerns data processed by a specific accommodation provider as an independent controller, we may refer you directly to that accommodation provider or forward your request to it, where appropriate and possible.
11. withdrawal of consent.
If we process your personal data on the basis of consent, you can withdraw this consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before its withdrawal.

12. security of personal data.
We protect personal data with appropriate technical and organisational measures to prevent unauthorised access, loss, misuse, alteration or disclosure.
Access to personal data is limited to persons who need it for their work or to provide the agreed services, and only to the necessary extent.
13. personal data processors.
In operating the tenspace. platform we may use external suppliers who process personal data for us as processors.
These are in particular providers of IT services, hosting services, booking systems, email tools, analytics tools, marketing tools, accounting services or customer support.
We cooperate with these suppliers only to the extent necessary to ensure the operation of the platform and related services.
14. independent data controllers.
In addition to tenfold. s.r.o., independent data controllers may also include specific accommodation providers, external booking platforms, payment gateways or other partners that determine their own purposes and means of processing personal data.
In such a case the processing of personal data is also governed by their own privacy policies.
tenfold. s.r.o. is not liable for the processing of personal data carried out by another independent controller outside its control.
15. changes to this policy.
We may update this policy from time to time, in particular in response to changes in legal regulations, changes in the functioning of the tenspace. platform, changes in the tools used or changes in our services.
